Common workflows¶
These are the workflows you'll reach for most often. Trigger any of them from the ZAI Pod with a plain-English request — the exact phrasing is flexible, ZAI matches the closest workflow.
Employee lifecycle¶
Onboarding a new hire and offboarding a leaver are the two highest-impact workflows. Onboarding creates the M365 user, assigns a licence, and adds them to standard groups in one go. Offboarding disables the account, removes licences, converts the mailbox to shared, and grants the manager access.
Try saying:
Onboard new employee jane.smith@contoso.comOffboard john.doe@contoso.com and give manager@contoso.com mailbox access
Password resets¶
Reset a single user's password. By default ZAI generates a strong password and forces a change on next login. For a suspected compromise, ask ZAI to revoke active sessions too.
Try saying:
Reset password for john.doe@contoso.comReset password and revoke all sessions for john.doe@contoso.com
Licence management¶
Assign, swap, or remove M365 licences. ZAI checks availability before assigning, and reports cost impact and remaining quota when it's done.
Try saying:
Assign Microsoft 365 E3 to jane.smith@contoso.comRemove all licences from john.doe@contoso.comSwap john.doe@contoso.com from E3 to E5
Groups and mailboxes¶
Add or remove users from M365 and security groups, or convert a user mailbox to shared (useful for keeping email after someone leaves without paying for the licence).
Try saying:
Add jane.smith@contoso.com to Sales Team and MarketingConvert john.doe@contoso.com to a shared mailbox and grant manager@contoso.com access
How to find every workflow available to you¶
Type /run in the ZAI Pod to browse the full list. Filter by typing more — /run password shows just password-related workflows.
If a workflow you need isn't there, your admin can create one using Creating a workflow.
